• Invitation Letter Fee

It covers the preparation and issuance of your official invitation letter and visa-supporting documents, and is charged separately from and regardless of any scholarship, sponsorship, or funding status attached to your participation category. This fee is non-refundable under any circumstances, including in the event of visa refusal, once the invitation letter and supporting documents have been issued.
  
  
• Use of Submitted Materials
  By submitting this application, participants grant the organisers of Youth Envoys Paris 2027 permission to use their name, biography, and submitted materials for promotional or communication purposes related to the conference.
  
  
• Fee Disputes
  The invitation letter fee is separate from, and unaffected by, any scholarship or funding award. The organisation reserves the right to contest any claims, and any resulting loss or liability remains the responsibility of the applicant.
  
  
• Visa Responsibility
  While a formal invitation letter with supporting documents and embassy appointment guidance will be provided, obtaining a French/Schengen visa is solely the responsibility of the participant. The organisers cannot be held liable for visa denials, travel restrictions, or related issues.
  
  
• Confirmation of Attendance
  Invited applicants must confirm their participation within the specified deadline. Failure to do so may result in the withdrawal of the invitation and associated benefits.
  
  
• Conduct and Values
  Participants are expected to uphold the values of respect, inclusivity, and professionalism. Any form of misconduct may result in immediate disqualification from the conference.
  
  
• Event Changes
  The organisers reserve the right to cancel, postpone, or modify the conference due to unforeseen circumstances. Participants will be informed promptly in such cases.
  
  
• Personal Responsibility & Safety
  The organisers of Youth Envoys Paris 2027 are not liable for any loss, injury, damage, or theft during the event. Participants are responsible for their personal belongings and are expected to follow all safety guidelines. The organising team will provide support and guidance as needed.
  
  
• Legal Acknowledgement
  By participating, applicants agree to accept the non-refundable invitation fee and refrain from initiating any legal action regarding this matter. Participants also commit to maintaining professional conduct and to avoiding any form of defamation against the organisers. Any breach of these conditions may result in legal consequences.
